PAPERLESS OFFICE

Paperless Office in Sage 100: More Than PDF Printing

Paperless Office is more than a PDF button. It can archive reports and forms, preserve documents for later retrieval, electronically deliver business documents, and support workflows across AR, Sales Order, Purchase Order, Job Cost, Payroll, and more.

Paperless Office has one of those Sage 100 names that makes the feature sound smaller than it is.

If you hear “Paperless Office” and picture only a button that saves a report as a PDF, you are missing most of the interesting part.

Yes, It Creates PDFs

Sage documents PDF creation and archiving for journals, registers, period-end reports, standard reports, and a range of forms.

The useful part is what happens after the PDF exists. The document can be archived, retrieved later, searched through supported viewers, printed selectively, emailed, or used as the preserved copy of what the system generated at that moment.

It Can Preserve Journals and Registers

Sage documents the ability to convert journals and registers to PDF and view them from a central location.

Period-end reports can also be archived as PDFs with automated naming and later retrieval.

It Handles Customer and Vendor Documents Too

Paperless Office is also part of electronic forms delivery.

  • Accounts Receivable statements
  • Accounts Receivable invoices
  • Sales orders
  • Sales-order invoices
  • Purchase orders
  • Job Cost invoices
  • Customer RMAs
  • Payroll direct deposit stubs

Forms can be sent to multiple email addresses.

The Archive Can Matter as Much as the Email

A common mistake is to think the important event is: “Did the customer get the invoice?”

Of course that matters. But months later, a different question may matter: “Can we see the exact invoice that was generated and sent?”

Sage documents viewers for supported forms that can show information such as date, source, user, file name, whether the file still exists, and whether it was sent electronically.

Payroll Direct Deposit Stubs Are a Good Example

Paperless Office can preserve Payroll direct deposit stubs as PDFs. Sage documents a viewer that can identify the employee, check date, sequence, user, run date and time, sent-to email address, path, document name, and whether the stub was emailed.

Individual stubs can also be secured with employee-specific passwords.

Newer Sage Releases Are Making Paperless Office More Automated

Sage's June 2026 product material describes newer Paperless Office improvements including consolidated email capabilities, sending multiple documents in a single communication, scheduled delivery, and improved document handling.

Sage 100 2025.0 also incorporated Paperless Office into the Request for Quote workflow, where RFQs can be emailed to one or multiple vendors.

Paperless Office is becoming more involved in the process itself, not merely the place where the process ends.

Why We Care So Much About Paperless Office

Once a business depends on electronic delivery, a Paperless Office failure is no longer a cosmetic inconvenience. It is a broken business process.

That is why we treat Paperless Office as a real system: document generation, archiving, retrieval, security, delivery, and the technical environment that makes those pieces work together.

The Highest Compliment Is That Nobody Thinks About It

The invoice generates. The PDF archives. The customer receives it. The employee gets the stub. The auditor gets the journal. And everybody gets on with their day.

That is exactly what Paperless Office should feel like.
