Paperless Office After a Sage 100 Upgrade: What We Check

A Sage upgrade is not complete because the program opens. If the business relies on Paperless Office, document generation, archives, forms, users, delivery, and Payroll output belong in the upgrade test plan.

A Sage 100 upgrade is not finished because the program opens.

It is finished when the business processes people depend on still work.

Start With the Documents the Business Actually Uses

Sage documents electronic delivery and archiving for Accounts Receivable statements and invoices, Sales Orders, Sales Order invoices, Purchase Orders, Job Cost invoices, RMAs, Payroll direct deposit stubs, reports, journals, registers, and period-end documents.

Before the upgrade, we want to know which Paperless Office workflows are actually business-critical. Those are the ones we test first.

Test Generation Separately From Delivery

A document has to exist before it can be emailed.

So we separate two questions: Did Sage generate and archive the correct PDF? and Did the electronic delivery work?

Forms Deserve Attention

If a business uses customized forms, we want those outputs validated after the upgrade rather than assuming a successful program conversion means every document is correct.

Paths and Archives Matter

After an upgrade or server transition, we want to confirm that supported documents are still being saved where expected and remain retrievable.

Test More Than One User When It Matters

A successful test from the administrator account does not prove that every ordinary user has the same access, configuration, permissions, or workflow.

Payroll Documents Deserve Their Own Test

Sage documents PDF storage, retrieval, email information, and employee-specific password protection for Payroll direct deposit stubs.

Payroll is not where we like to discover an upgrade dependency five minutes before somebody needs to be paid.

Newer Paperless Office Features May Be Part of the Opportunity

Sage's June 2026 material describes newer Paperless Office improvements including consolidated email, multiple documents in one communication, scheduled delivery, and improved document handling.

Sage 100 2025.0 also uses Paperless Office to email Request for Quote documents to one or multiple vendors.

Our Paperless Office Upgrade Checklist Is Really a Workflow Checklist

  • Identify the documents people actually depend on.
  • Generate them.
  • Confirm the correct form and content.
  • Confirm PDF creation and archive location.
  • Retrieve the archived copy.
  • Test electronic delivery.
  • Test representative users.
  • Test sensitive workflows such as Payroll separately.
  • Confirm any scheduled or consolidated delivery processes in use.

The Best Upgrade Morning Is Boring

The customer invoice generates. The PO goes to the vendor. The statement archives. The payroll stub is available. Nobody has to think about Paperless Office.

That is the goal.
