If your company uses Sage Intelligence with Sage 100, there is an important licensing change to know about in 2026.
In February 2026, Sage announced that the Sage Intelligence Unlimited plan would no longer be available under Sage 100 and Sage 300 subscription plans.
Instead, Sage Intelligence is moving to per-user subscription licensing.
That is the most important distinction in Sage’s announcement.
What Changed?
Previously, Sage Intelligence could be purchased under an Unlimited plan that did not limit the number of users.
According to Sage’s February 2026 product update, that Unlimited option will no longer be available under Sage 100 and Sage 300 subscription plans.
Going forward, Sage Intelligence will be billed per user, similar to other Sage subscription products.
For customers who have relied on broad access to Sage Intelligence across a finance or management team, that means the number of people who actually need access now matters directly to licensing.
What Did Not Change?
Sage is very clear on this point:
The change does not affect the capabilities of Sage Intelligence itself.
The product still provides the same reporting and business intelligence functionality. The change is about how access is licensed and billed.
So if your reports, templates, or reporting workflows are working today, this announcement does not mean Sage Intelligence suddenly works differently.
Why This Matters to Existing Customers
The practical issue is user count.
If five people regularly depend on Sage Intelligence, that is different from one controller who runs all of the reports for everyone else.
Under a per-user licensing model, those usage patterns matter.
Sage states that either Sage or the customer’s Sage Business Partner will contact customers to discuss how many users are needed so the people who depend on Sage Intelligence can continue to have access.
You Probably Do Not Need to Panic
Licensing changes can sound much scarier than they are, especially when the first thing you hear is that an “Unlimited” option is disappearing.
The useful first step is not to assume you need to buy a license for every employee who has ever seen an Excel report.
The useful first step is to figure out who actually uses Sage Intelligence.
Who Should You Count?
Start with the people who actively depend on Sage Intelligence.
That might include:
- Controllers
- Accounting managers
- Finance staff
- Executives who run their own reports
- Analysts
- Power users who maintain or distribute reports
The exact answer depends on how your company uses Sage Intelligence today.
Some organizations have one or two people who build and run reports for everyone else. Others have broader hands-on usage.
That is why the right licensing count is a usage question, not just a headcount question.
Do Not Confuse Sage Intelligence Users With Sage 100 Users
A company may have many Sage 100 users but only a small number of people who actually use Sage Intelligence.
Those are not automatically the same population.
If twenty employees use Sage 100 but only two people work in Sage Intelligence, the Sage Intelligence licensing conversation should begin with those actual reporting users.
Again, Sage’s own announcement emphasizes determining the number of people who depend on Sage Intelligence for business insights.
What About Existing Reports?
Sage’s product update does not say that existing Sage Intelligence reports need to be rebuilt because of this licensing change.
It also explicitly says the capabilities of the Sage Intelligence solution are not changing.
So this should be treated as a licensing review, not automatically as a reporting redesign project.
If your reports already work, the first question is access.
What Should You Review Before Renewal?
Before your Sage Intelligence licensing is adjusted, it is worth doing a quick inventory.
Ask:
- Who actively opens Sage Intelligence?
- Who runs reports?
- Who designs or modifies reports?
- Who distributes reports to other people?
- Who only receives finished Excel files or PDFs?
- Are there former employees or inactive users still being counted internally?
That does not mean every answer automatically translates to a particular licensing requirement.
It simply gives you a much better picture before the conversation with Sage or your Sage Business Partner.
This Is a Good Time to Clean Up Old Access
Licensing changes are annoying, but they can also force a useful question:
Who actually still uses this?
A reporting environment can collect old users, old processes, and old assumptions just like any other system.
You may discover that someone who left two years ago is still on an internal list.
You may discover that a manager receives reports but never logs into Sage Intelligence directly.
You may discover that one person has become the real reporting owner and nobody ever formally documented it.
None of that is embarrassing. It is normal system archaeology.
What If You Are Not Sure What You Have?
That is also normal.
You may know that “we use Sage Intelligence” without knowing exactly which module, which users, or how the original licensing was set up.
You may have inherited the environment.
You may have a report process that has worked for years and nobody has had a reason to question it until now.
That is not a bad place to begin.
Sage Intelligence Is Still Sage Intelligence
It is worth repeating because licensing announcements can blur the message.
Sage Intelligence remains the integrated reporting and business intelligence solution customers already use with Sage 100 and Sage 300.
Sage’s February 2026 update specifically says the change does not affect the product’s capabilities.
The change is that the Unlimited subscription option is going away and access under Sage 100 and Sage 300 subscription plans is moving to per-user billing.
What Customers Need to Do
The practical next step is simple:
- Identify the people who actually depend on Sage Intelligence.
- Review how those people use it today.
- Remove obvious inactive or outdated assumptions from your internal user list.
- Discuss the required user count with Sage or your Sage Business Partner.
- Confirm the licensing that will apply to your subscription.
You do not need to turn this into a six-week audit.
You just want enough clarity that when somebody asks, “How many Sage Intelligence users do you actually need?” you are not answering with a shrug and a prayer.
