Sage 100 gives you more than one reporting tool, which is useful right up until somebody asks: “Which one are we supposed to use?”
That is a fair question.
Crystal Reports, Business Insights, and Sage Intelligence all help you get information out of Sage 100, but they are designed for different kinds of work.
If your company has been using Sage for years and nobody remembers why one report is Crystal, another lives in Business Insights, and somebody else swears by Excel, that is completely normal. The Sage 100 reporting environment has grown over time, and different tools solve different problems.
Crystal Reports: Best When the Output Itself Matters
Sage 100 uses SAP Crystal Reports as its primary report writer and form builder.
Sage documents more than 200 predefined customizable reports, hundreds of journals, and more than 50 forms available through the included Crystal Reports environment.
Crystal Reports is especially useful when you need a defined, repeatable, presentation-quality result.
That can include:
- Invoices
- Purchase orders
- Statements
- Checks
- Operational reports
- Management reports
- Custom forms
You can modify fonts, colors, layout, borders, shading, logos, company-specific information, and messages.
A Crystal report can also be saved and reused, which makes it a strong fit when people need the same formatted result over and over again.
Crystal Reports Designer Goes Beyond Simple Changes
Sage states that a single Crystal Reports Designer license is included with a Sage 100 installation, with additional seats available separately.
Crystal Reports Designer allows custom reports to be built from Sage 100 dictionaries and tables.
Those reports can then be saved as menu items for easier reuse.
That makes Crystal Reports a good choice when a standard Sage report is close—but not close enough.
Business Insights Explorer: Best for Looking Around the Data
Business Insights Explorer serves a different purpose.
Sage documents predefined views such as:
- Customer view
- Sales Orders view
- Open Invoices view
Instead of starting with a finished page layout, Explorer is designed to help users navigate through information.
Users can filter, sort, group, and summarize the Data View grid.
Columns can be shown or hidden, reordered, renamed, and formatted. Those changes can also be saved as a setting.
Explorer can drill into related data for a selected row, helping users follow a transaction through the system.
That makes it particularly useful when the question is less: “Can you print me this report?”
and more: “What is actually going on here?”
Business Insights Explorer Can Export the Result
The fact that Explorer is designed for investigation does not mean the information has to stay on screen.
Sage documents exports to formats including:
- Microsoft Excel
- Microsoft Word
- XML
- Web pages
The information in the Data View grid can also be printed and saved to a report.
That can make Explorer a very practical choice for somebody who wants to manipulate and review live operational data before deciding what to do with it.
Business Insights Reporter Sits Somewhere in the Middle
Business Insights Reporter is worth separating from Explorer because it has a different role.
Sage describes Reporter as providing predesigned reports that can be customized quickly.
Calculated fields can be created, layouts can be designed, and a wizard can walk the user through initial report creation and menu placement.
Further modifications can also be made later with Crystal Reports Designer.
So Business Insights Reporter can be a useful middle ground: more structured than exploring a data grid, but still focused on getting a report built without necessarily starting from a blank Crystal Reports design.
Business Insights Dashboard: Best for a High-Level View
Business Insights Dashboard is aimed at high-level visibility.
Sage describes it as presenting information in a graphical format designed to help users quickly understand the state of the business.
The documented capabilities include:
- More than 15 predefined reports
- Wizard-based customization
- Drill-down to detail
- Automatically refreshed data
- Customizable periods, reports, and display choices
That makes the Dashboard more appropriate for somebody who wants to glance at important business information than for somebody building a detailed invoice form or investigating every line of a transaction.
Sage Intelligence: Best When Excel Is Where You Want to Work
Sage Intelligence Reporting takes another approach.
It is installed as a module in Sage 100 and extracts Sage data into Microsoft Excel.
Sage positions that Excel environment as one of its major advantages.
Users who already understand Excel can work with familiar spreadsheet tools while reporting on Sage 100 information.
Sage Intelligence is designed to support:
- Financial reporting
- Management reporting
- Custom report design
- Data aggregation
- Drill-down
- Automated report distribution
For organizations where controllers, finance teams, or management already live in Excel, that can make Sage Intelligence feel much more natural than learning a completely separate report-design environment.
Sage Intelligence Has Different Functional Levels
Sage’s 2023 reporting brochure describes several Sage Intelligence components with different capabilities.
Those include:
- Report Viewer for running existing reports
- Report Manager for editing templates, creating reports, sorting, drill-down, aggregation, and automated distribution
- Report Designer for creating and controlling financial reports
- Connector for accessing and consolidating information from multiple sources
The exact licensing available to a customer should always be checked against the current Sage subscription, because Sage Intelligence licensing changed in 2026.
A 2026 Licensing Change Is Worth Knowing About
In February 2026, Sage announced that the Sage Intelligence Unlimited plan would no longer be available under Sage 100 and Sage 300 subscription plans.
Sage stated that Sage Intelligence would instead be billed per user under those subscription plans.
Importantly, Sage also stated that this licensing change does not change the capabilities of the Sage Intelligence solution itself.
That means the tool-selection question and the licensing question are related—but they are not the same question.
First decide whether Sage Intelligence is the right reporting approach. Then make sure the organization has the appropriate current licensing for the people who need to use it.
So Which Tool Is Best?
There is no universal winner.
A better way to think about the choices is:
Use Crystal Reports when:
- The final printed or PDF layout matters
- You are modifying a Sage form
- You need a repeatable presentation-quality report
- You need precise formatting and report design
Use Business Insights Explorer when:
- You need to investigate operational data
- You want to filter, sort, group, and summarize information interactively
- You need to drill into related transactions
- You want to adjust the visible columns without building a formal report first
Use Business Insights Reporter when:
- You want to start from a predesigned report
- You need calculated fields or a customized layout
- You want a wizard-assisted path to report creation
Use Business Insights Dashboard when:
- Management needs a high-level graphical view
- You want frequently refreshed information at a glance
- You still want the ability to drill into detail
Use Sage Intelligence when:
- Excel is the preferred reporting environment
- You are focused on financial or management reporting
- You want to customize and analyze data in spreadsheets
- You need automated report generation or distribution
You May Need More Than One
This is the part that sometimes gets lost.
A company may have a very good reason to use all three families of tools.
Customer invoices may belong in Crystal Reports.
An Accounts Receivable manager may use Business Insights Explorer to investigate open invoices.
A controller may use Sage Intelligence for monthly financial reporting in Excel.
None of those choices contradicts the others.
If You Inherited the Reports, Start With What People Actually Use
Reporting environments tend to accumulate.
You may have:
- Seven versions of the same Crystal report
- A Business Insights view saved under somebody’s initials
- An Excel workbook everyone is terrified to touch
- A report that only works when one particular person runs it
None of that is something to be embarrassed about.
It usually means the reporting system grew along with the company.
The most useful first step is simply to identify:
- Which reports people actually use
- Who uses them
- What decision or process each report supports
- Which tool currently produces it
- What users wish were different
From there, it becomes much easier to decide whether a report should stay where it is, be cleaned up, or move to a different reporting tool.
The Simple Version
Crystal Reports is strongest when you need a defined, formatted output.
Business Insights is strongest when you need to explore, review, or monitor operational data.
Sage Intelligence is strongest when you want Sage 100 data delivered into an Excel-centered reporting and analysis process.
